Microsoft 365 Copilot's July AI update empowers Excel users with powerful prompt capabilities for table data. This simplifies complex spreadsheets and enhances data understanding.
AI prompts are particularly effective in revealing hidden data relationships. Safety is prioritized: Copilot previews changes before application, preventing accidental data corruption. Microsoft's blog post emphasizes this preview feature, giving users control over data modifications. This AI integration transforms spreadsheets into potent data analysis tools, especially beneficial for users less familiar with formulas. For instance, a prompt like "highlight rows where Q1 and Q2 exceed Q3 and Q4" automatically generates the necessary formula.
AI-assisted conditional formatting complements this cell, row, and column highlighting. Copilot provides visual previews of conditional formatting styles before application, enabling users to refine their choices. Prompts range from simple ("Highlight rows where Priority is Critical and Status is Not Done") to sophisticated ("highlight rows with sales leads but missing territory listings"). Another AI feature summarizes column data into a single cell, addressing the previous limitation of individual row calculations.
Excel users access Copilot via "Try in" buttons on Copilot Lab prompt cards (available for Word and PowerPoint too). Copilot Lab is accessible within Microsoft 365 apps and on mobile devices. Note that a Copilot Pro subscription is required.
This enhancement follows a significant Excel web app update introducing mouse controls, drag-and-drop functionality, and other user-friendly features. Copilot's email drafting assistance is also available in Outlook via a dedicated sidebar.
