How to schedule emails on the go

You may wish to schedule emails to be sent at some point in the future rather than sending them immediately for a variety of reasons. Maybe you don’t want to wake up your teammates who live in different time zones, or you just don’t want the teacher to know that you stayed up late and finished the paper.

For whatever reason, many mobile mail apps now offer mail scheduling capabilities, including the default platforms on iOS and Android—Mail and Gmail apps, respectively. Once you have mastered how to use it, you may find it more useful to schedule emails to send than you expected.

iOS Mail App

The iOS Mail app for Apple is installed on the user device using iPhone. Now, with the advent of iOS 16, the platform has built-in email scheduling, so if you want to delay sending emails, you don't need to rely on third-party programs. Just make sure that the latest software is running on your device.

The same scheduling features can be used for new emails and replies. To start the mail thread, click the Compose button in the lower right corner of the home screen (it looks like a pen writing on paper). If you are already in the mail thread, click the Reply button (point to the arrow to the left), and select Reply or Reply All.

Normally, the blue up arrow button (top right corner) sends the email you are writing, but if you want to schedule mailing instead, click and hold the button: Then you will see a number of options , including “Send Now” and suggestions for time you may wish to schedule emails. Select Send Later and you can set the specific date and time of email delivery.

Warning - When scheduling emails on iOS, remember that the Mail app saves your drafts on your local device, not on Apple's servers. This means your iPhone needs to be turned on and connected to the network to send emails at a specified time.

To view currently scheduled emails (you can edit or delete them if you want), click Send Later on the app's home screen.

Gmail on Android (and iOS)

If you have an Android device, you should find the installed Gmail on your phone. If you have an iPhone and the native mail app is not for you, you can find Gmail for free in the iOS app store. Like Apple's Mail app, you can use it whether you create a new email conversation (click "Compose" from the home screen) or reply to an existing conversation (click "Reply" or "Reply All" in the conversation). Simply write the email as usual, and instead of clicking on the blue send arrow in the upper right corner of the screen, clicking on the three dots to the right of it and selecting "Schedule Send". Gmail users don't need to worry about whether their phone is turned on or whether they have internet access before email settings are sent, because Google's mail platform uses its web server to process mail.

Finally, you can edit queued emails or block the app from sending all emails together by clicking the Gmail app menu button (three horizontal lines in the upper left corner of the home screen) and selecting "Scheduled".

Spark on iOS and Android

One of the third-party email apps that support plans to send is Spark, which allows you to get free iOS and Android (and other operating systems) versions. This platform comes with many useful features such as automatic email priority and integrated reminders, although some of these tools require a $5 monthly subscription fee.

Luckily, you can schedule emails without paying. In the Spark main interface, you can compose a new email by clicking the button that looks like a pencil in the lower right corner of the screen. You can also reply to emails using the Reply button, which is the left arrow icon that displays a pointing below the open email conversation (click it to select Reply or Reply All).

When you finish writing your email, don't click on the Send button (the paper airplane icon in the upper right corner of the screen), but click on the icon on the toolbar above the keyboard that looks like a stopwatch on the top of the paper airplane. You can choose from some planning time suggestions, or you can click on "Select Date" to explain more specifically. Select Custom to change the options displayed by default on this panel.

After setting up your plan, you need to click the Send button (top right corner). Emails will be sent on the specified date and time regardless of whether your phone is turned on or whether Spark is running. To view scheduled emails, click the menu button (three horizontal lines in the upper left corner of the screen) and select Outbox. You can also edit and delete scheduled emails from here.
