This article explains how to recall emails using the "undo send" feature in various email clients. It's been updated since its original publication on December 16, 2021. Many of us have experienced the frustration of sending emails with typos, missing attachments, or incorrect recipients. The "undo send" function offers a solution. Availability and setup vary across platforms.
Gmail:
Gmail's "Undo Send" is built-in and requires no activation. After sending, an "Undo" link appears; clicking it returns the email to drafts. You can customize the undo window (5, 10, 20, or 30 seconds) via the settings cog icon (top right) > "See all settings" > "General" tab. This setting applies to both web and mobile. Recalled emails reappear in the compose window as unsent drafts.
Outlook:
Outlook's web client offers a similar "Undo Send" feature, adjustable from 0 to 10 seconds (0 disables it). Access this via the settings cog icon (top right) > "View all Outlook settings" > "Compose and reply". Clicking "Undo" after sending prevents delivery and returns the email to drafts.
The Outlook desktop app lacks a direct "undo send," but you can create a rule to delay message sending. Go to the "File" tab > "Manage Rules & Alerts" > "New Rule" > "Apply rule on messages I send". Select "defer delivery by a number of minutes" (1-120 minutes). Emails will remain in the "Outbox" until the delay expires; you can move them to "Drafts" to cancel. Android and iOS Outlook apps don't offer this recall function.
Third-Party Email Clients:
Most email clients (Apple Mail, Yahoo Mail, etc.) don't have native "undo send." Third-party options provide this functionality:
Spark (macOS, iOS, iPadOS, Android): Free for personal use; offers a 5-second undo window, non-adjustable.
Airmail (macOS, iOS, other Apple products): Paid desktop app ($10/year or $3/month), free mobile. Offers a configurable sending delay (5-120 seconds) on macOS and a 5 or 10-second delay on iOS.
Mailbutler (Apple Mail extension): Free version includes "undo send" with a configurable delay set via the web dashboard.
This guide helps you choose the best method for recalling emails based on your preferred email client. Remember to adjust settings according to your needs and always double-check before sending important emails.
