Master seven practical tips for Microsoft Teams to improve collaboration efficiency! Windows 11 places Microsoft Teams in the center of the taskbar. This application is no longer limited to business users, but also provides services to ordinary users. It aims to replace communication tools such as Skype, Slack, Facebook Messenger, etc.

7 tips to help you excel at Microsoft Teams

It should be noted that the pre-installed Teams version of Windows 11 is a streamlined version, mainly for personal purposes. To log in to your school or work account, you need to install the full version of the Microsoft Teams app. For more information, please visit the Microsoft support page to learn how the two versions work together.

Click the chat button on the taskbar (the purple voice bubble contains the camera icon) to view the simplified Teams interface. To need the full version of the app, click "Open Microsoft Teams".

Now, let's start learning!

1. Set status

In any chat app, it is crucial to inform others about your online status in a timely manner. In Teams, click on the profile picture in the upper right corner, and then click on the current status to set it.

You can choose "Online", "Leave" and "Invisible". No matter which state you choose, it will not affect your ability to send and receive messages. To set it further, select "Set Status Message" in the same pull-down menu. You can set up custom messages so others understand your current status, such as "Lunch Time" or "Meeting in a Meeting". You can also set the expiration time of the message so that it automatically disappears after the end of the day, the end of the week, or the hour/four hours.

2. Control Notification

If you are busy with multiple conversations and don't want to be overwhelmed by chat notifications from Microsoft Teams, the software can help you solve this problem. Click the three dots in the upper right corner and go to Settings and Notifications to set your preferences.

Click Edit next to "Chat" to determine which events (such as mentioning your name or reaction to your message) will trigger a banner notification. There is also a link to the main Windows 11 notification settings page where you can further customize these reminders.

3. Comprehensive formatting of your message

Teams is great for sending short text and emojis to your contacts, but you can also write more detailed messages. To do this, click the "Format" button below the text input box (the icon is a shape of a pen next to an A).

This will open up a series of additional options. You can change the size and color of the text, add indents and bullets, insert dividers, and even include tables in your message. Hover your cursor over all icons on the toolbar to see what each icon does.

4. Find unread messages

As you use Microsoft Teams more and more, keeping up with all personal conversations and group chats can become difficult. The main chat panel has a filter option that can help here.

Click on "Chat" to view all messages, and then click on the "Filter" button (three horizontal lines) at the top of the session list. Select "Unread" and Teams will display all messages you have not viewed yet.

5. Silence and hide dialogue

The function of mute conversations is crucial in the messaging program you use frequently, otherwise you will be distracted by the messages you receive. In the Chat tab, click the three dots next to the conversation, and then click Mute. You will not receive any notification about that particular thread until you unmute the conversation again.

There is also a "Hide" option in the same pull-down menu, which mutes the conversation and hides it from the main list. To find it again, you need to search for the contacts you are chatting with in the search box at the top of the interface.

6. Switch to dark mode

Applications without dark mode are incomplete. Microsoft Teams is no exception. Click on the three dots in the upper right corner of the interface and select Settings and Appearance and Accessibility, and you can choose between Light, Dark, or High Contrast themes.

If you want Teams to follow the main Windows 11 settings, turn on the Follow Operating System Theme switch.

7. Remove Teams from the taskbar

Microsoft Teams is not for everyone, and you may not necessarily like its position in the middle of the Windows 11 taskbar. To remove shortcuts (and other system shortcuts, such as search or widgets), open the Start menu and select Settings. There, click Personalize and then click Taskbar and you can turn off the Chat switch.

If you need Teams, it is still installed on your computer and is accessible via the Start menu. To delete it completely, open Settings and select Apps and Apps and Features. Click the three dots next to Microsoft Teams to find the "Uninstall" option.
